The deployment targeted site-level asset and inventory workflows and was positioned to support site accounting, Commercial & Site Services, procurement, stores, and finance reporting functions at the mine site with intermittent coordination with corporate personnel in Perth. Pronto Xi Asset and Facility Management was configured to manage an asset register and facility records, schedule and track maintenance activities, and underpin inventory control processes including stocktakes, store issues, stock receipts, and monthly inventory closeout. The implementation also covered operational controls for fuel delivery handling and rebate calculations, reagent and warehouse stocktakes, assistance with purchase order processing, and data capture used for site accruals, power, man day and flight allocations, and weekly cash flow updates, supporting routine month end and management reporting workflows. Operationally the application was used alongside the Pronto ERP environment and with Redmap, with site personnel providing first line support for ERP interactions and reconciliation tasks. The implementation emphasized integrated record keeping between asset, stores, and financial subledgers to enable reconciliations of general ledger accounts and to support preparation of monthly management reports and audit deliverables. Governance was structured around site accounting ownership, with the Site Accountant and Commercial & Site Services Manager accountable for control reviews and continuous improvement of Pronto Xi Asset and Facility Management and related Redmap usage. Configuration and process changes were scoped to reduce control weaknesses, formalize inventory and procurement workflows, and provide clearer ownership for supplier liaison, site expenditures monitoring, and internal queries. |
