Kuali Oracle NetSuite ERP Kuali Financials Education ERP ERP Services and Operations n/a 2023 2023
In 2023, Indiana University implemented Kuali Financials as its core financial system within the Education ERP category. Kuali Financials replaced Oracle NetSuite ERP and is provisioned to support fiscal operations and accounting workflows across the university. The deployment of Kuali Financials is organized around three principal components, E-docs for transaction initiation and updates, the General Ledger, GL, as the official repository of financial and budget information, and Decision Support for inquiries and reporting. The application surface includes modules for Accounts Receivable, Capital Assets, Chart of Accounts maintenance, Financial Processing for general e-docs, Labor Distribution for compensation expense accounting, and a Pre-Disbursement Processor for preparing non-payroll payment files and creating payment ledger entries. Kuali Financials receives financial data feeds from other enterprise systems, explicitly including HRMS Payroll, BUY.IU, and Chrome River, ensuring GL postings and budget balances are updated from transactional sources. The operational user population is university employees with fiscal responsibilities, including fiscal officers and their delegates, departmental support staff, professional staff, faculty who initiate or approve transactions, contracts and grants principal investigators, deans, directors, and department chairs. Governance and operational support are shared by the Office of the University Controller together with the University Budget Office, the Office of Research Administration, and the Financial Systems team in University Information Technology Services. The Controller's office maintains technical and functional support through subject matter experts, business and systems analysts, manages most types of Kuali Financials access, and establishes accounting policies and standards that are operationalized through the system; training and documentation are centralized on the Financial Training and Communications site and fiscal officers serve as first-line resources for users. Kuali Financials is delivered as a web based application compatible with modern browsers, with Firefox and Chrome recommended and other Chromium based browsers and Safari supported with potential display differences. Availability is scheduled Monday through Saturday from 6 a.m. to 10 p.m. and Sunday from 10 a.m. to 10 p.m., subject to overnight batch processing cycles that can extend access windows.
