Oracle Legacy Oracle NetSuite ERP ERP Financial ERP Financial Management n/a 2019 2019
In 2019, Acumen Fund, Inc. implemented Oracle NetSuite ERP to centralize financial management for its grant portfolio. Oracle NetSuite ERP was deployed to support ERP Financial controls and accounting for restricted funding across finance, grants management, and program teams. The implementation focused on grant budgeting and grant-specific financial reporting workflows, including development and evolution of proposal grant budgets aligned to organizational priorities and donor requirements. Functional capabilities configured in Oracle NetSuite ERP included structured budget models for grants, contract review workflows to flag unfavorable financial terms and compliance risk, and reporting modules to prepare financial reporting in accordance with grant obligations. Operational accounting processes were built to collate grant related cash flows, receivables, and payables, and to apply relevant allocations to support month-end close processes. The team managed development and implementation of a new time tracking system in NetSuite, embedding labor allocation and timesheet capture into the ERP to improve allocation of employee time to restricted grants. Oracle NetSuite ERP was used to surface grant expense trends and forecasts when interfacing with program stakeholders. Governance and process changes included leading grant budget conversations with internal and external stakeholders, establishing routines to monitor budgets and expenses for all restricted funding, and fielding inquiries from program team members on grant related activities. The implementation formalized review gates for grant contracts and established allocation workflows to ensure grant requirements were reflected in accounting and close procedures. A funding map was created inside the program and budgeting practice showing coverage of labor, overhead, and other key expenses over the next five fiscal years, and this funding map is being used to inform fiscal year budget conversations as well as overall funding strategy for teams and regions across the organization.
