In 2008, Affordable Engineering Services implemented JAMIS Prime ERP as its central accounting platform. The deployment targeted core finance and accounting for the 500 employee professional services firm. JAMIS Prime ERP was selected following an enterprise software evaluation that included JAMIS, DELTEK COSTPOINT, and ADP, and a formal gap fit analysis.
Configuration focused on ERP Financial capabilities, with implementation of general ledger, accounts payable, accounts receivable, project accounting, and financial reporting workflows. The team configured chart of accounts, period close controls, and billing and revenue recognition processes common to professional services finance. Automation was introduced for invoice processing and project cost tracking to align with the firm billing cycles.
The project included integrations with named prior systems, including Intuit Quickbooks Pro, Paylocity for payroll data, and custom Excel applications used for project cost capture. Data migration mapping and ETL routines were developed to extract historical balances from Intuit Quickbooks Pro and to reconcile payroll and labor costs from Paylocity into JAMIS Prime ERP. Interfaces were built to support ongoing exchange of transactional and master data between JAMIS Prime ERP and the custom Excel ledgers.
Program governance included business process analysis, gap fit workshops, and a managed transition plan to move accounting operations onto JAMIS Prime ERP. Cutover activities included validation of migrated financial data, redefinition of month end close workflows, and training for finance and project accounting users. The rollout centralized accounting processes under JAMIS Prime ERP and operationalized new financial control and reporting procedures for Affordable Engineering Services.
