In 2018, ALCO Management implemented Yardi Payscan as its AP Automation solution. The Yardi Payscan deployment was configured to centralize invoice capture and accounts payable processing within ALCO Management's Yardi environment, with administration led by an Operational Systems Manager responsible for system administration and functionality development.
The implementation included Yardi Payscan invoice capture workflows, ETL-based data imports for conversions, custom menus and workflow configuration, account and property based security, and scheduled automated reporting. Custom reporting using SQL scripting and YSR integrated with Excel was used to support operational reporting and reconciliations, and custom programming management was maintained in house.
Yardi Payscan was integrated into ALCO Management's broader Yardi footprint, working alongside RENTCafé, Affordable module, RightSource, Bill Pay, Marketplace, YSR, and CRM, with interfaces established and maintained via Yardi data exchange and external interface vendors. Operational coverage focused on accounts payable, vendor invoice management, procurement related invoice routing, and site level personnel across property management teams.
Governance emphasized user and property access controls, escalation workflows to Yardi support, analysis of support tickets to inform training, and creation of training guides for end users. The Operational Systems Manager also managed Yardi vendor relationships including purchase authorization and invoice account management, and led ongoing process improvement and workflow standardization tied to the Yardi Payscan AP Automation deployment.

ALCO Management is an affordable housing owner operator whose training had been a hybrid of in-person, live virtual sessions and limited online coursework, and the company sought to centralize and scale role based training for property managers, maintenance staff and compliance specialists.
ALCO configured Yardi Aspire to leverage the vendor s proprietary course library and role aligned learning plans, using the platform s course authoring templates to create custom modules that reflect affordable housing compliance needs. Yardi Aspire provided standard courses for fair housing, sexual harassment and workplace safety, while ALCO s instructional designer produced organization specific content and completed new modules in a matter of days using Aspire s authoring tools.
Operationally the implementation centralized training delivery and reporting on a single internet accessible learning management platform, enabling remote access for new hires and ongoing staff. Aspire automated alerts for required recertification and produced consolidated reports that replaced manual spreadsheet tracking, and the solution supported consistent delivery of onboarding and continuing education across regional workspaces and property sites.
Governance and process changes included the creation of role based learning plans, a shift of administrative work from manual scheduling to automated workflows, and a staffing change that added a senior instructional designer to maintain custom content. ALCO maintained active communications with the Aspire team to receive timely updates to courses, and trainers used those communications to align internal schedules and compliance messaging with regulatory changes.
ALCO Management continued to rely on Yardi Aspire to keep training content aligned with HUD and state agency updates, with Yardi Aspire updating course content when HUD changes go into effect. The centralized Yardi Aspire deployment reduced administrative overhead for training coordination, sustained remote onboarding during the COVID pandemic, and delivered a consistent learning experience across office based and remote employees.

Integration architecture centered on the Yardi Voyager property management and accounting platform, with Resident Screening linked into operational leasing workflows and the Yardi Portal providing a dynamic link for real-time online marketing, unit availability, online leasing with credit checking, and resident self-service functions such as rent payments, lease renewals, and work order requests. The implementation impacted leasing, resident services, marketing, and accounting functions across ALCO Management's portfolio.
Governance and process changes emphasized enforcing corporate-wide screening standards and automating screening to reduce manual steps for leasing agents, enabling credit checks without leaving Voyager or the Portal. Outcomes reported by ALCO included CHECKscan saving many hours per week of processing time and eliminating trips to the bank, and Yardi Resident Screening providing a reliable, automated screening process that improved leasing agent efficiency.
