The deployment targeted finance, preconstruction, and project operations teams at the 125-employee construction firm, positioning TimberScan to manage invoice intake, routing, and supplier documentation alongside existing project bid processes.
TimberScan was configured to support core AP Automation capabilities common to the category, including automated invoice capture and imaging, configurable approval routing for invoice and subcontract agreement approvals, two and three-way PO matching where applicable, and centralized supplier record management. The implementation emphasized invoice workflow orchestration and document attachment of contract and subcontract artifacts to reduce manual handling between preconstruction and project operations.
Operational integration work connected TimberScan usage with the firm’s existing document distribution and bid platforms, using BlueBeam Revu eXtreme for collaborative A/E document review and leveraging distribution channels via iSqft, PlanGrid, and SmartFile ftp for project files and subcontractor documentation. These touchpoints enabled project bid packages and master subcontract agreements to be associated with AP workflows in TimberScan, supporting cross-functional visibility between bidding, procurement, and accounts payable.
Governance and process changes accompanied the rollout, with a piloted subcontractor registration process that cataloged corporate information into bidder list databases and fed master subcontract agreements and prerequisite verification into AP workflows. Process owners from preconstruction and finance centralized supplier onboarding data and standardized document requirements to align TimberScan transaction processing with project onboarding and contract administration practices.
