In 2017, AnMed Health Medical Center implemented Hyland OnBase as a Content Management solution to automate invoice capture and retrieval within its accounts payable function. The deployment targeted accounts payable across the health system, which includes a 461 bed medical center campus, a 72 bed women and children hospital, a comprehensive cancer center, a rehabilitation hospital and multiple physician practice sites, supporting roughly 6,000 invoices per month.
Hyland OnBase was configured with imaging workflow and enterprise content archive modules to capture invoices at the point of entry, apply automatic data recognition and index invoice fields for rapid retrieval. Paper invoices are scanned using a Fujitsu FI-5530C scanner, transformed into process ready images and electronically filed in OnBase with metadata that links each invoice to coordinating purchase orders, check requests and supporting documentation.
KeyMark engineered the solution and integrated Hyland OnBase with AnMed Health’s accounting system to group invoice images with transactional records and streamline retrieval. The integration enables document distribution by email, controlled auditor access to image archives, and offsite backup storage to support disaster recovery and secure long term retention.
The implementation restructured accounts payable workflows by eliminating manual filing and misfiling, centralizing the invoice archive, and enabling end users such as financial analysts, accounting staff, managers and auditors to locate documents electronically. Reported outcomes include efficiency gains, faster electronic retrieval and sharing of invoices, improved vendor service, decreased paper storage needs and time savings during audits, with the organization evaluating a future extension into electronic approval processes.
