In 2004 Ariba Oil implemented Quicken Personal Finance & Money Management to centralize financial operations and establish a structured ERP Financial bookkeeping environment for the 30-person oil and fuel distribution firm. The deployment was positioned to replace manual bookkeeping processes with an application-centric workflow that supported the company as it scaled to a multi-million gallon operation.
Quicken Personal Finance & Money Management was configured to manage core bookkeeping functions including maintenance of the general ledger, bank reconciliations, billing and deposits, and daily cash posting. Functional capabilities implemented included accounts payable and accounts receivable processing, payroll tax and monthly fuel tax payments, electronic funds transfer setup for vendor payments, inventory tracking and reconciliation, and a customer account database ingest for 4,000 active and 8,000 potential customers.
Operational coverage spanned accounting, billing, customer service and cash management, with the finance team handling approximately $100,000 in monthly AP/AR activity and daily bank deposits through the Quicken instance. Integrations explicitly established included electronic funds transfer accounts with banking providers and periodic accountant reviews, with the accounting team conferring quarterly to reconcile the general ledger and prepare tax filings.
Governance and process restructuring emphasized establishing and maintaining a bookkeeping system from company launch through growth, migrating manual processes into the Quicken environment and formalizing routines for reconciliations, deposits, EFT flows and customer data management. Routine operational controls included weekly payroll tax remittances and monthly fuel tax processing, with Quicken Personal Finance & Money Management serving as the primary ERP Financial system for day to day financial operations.
