In 2018, the Association of Illustrators implemented Sage 50cloud as its ERP Financial application to centralize accounting for membership and event revenues. The deployment focused on core financial workflows used by the small finance team and a temporary Freelance Finance Officer who supported the Finance Director during the World Illustration Awards 2018 launch in London.
Sage 50cloud was configured to handle accounts receivable, retrospective sales invoicing, multi currency receipt processing, and bank reconciliation workflows typical of ERP Financial systems. During the WIA engagement the team processed receipts in pounds, dollars, and euros, recording total event income of £105k from over 3000 entries, and raised retrospective sales invoices where required. Regular recurring membership payments were posted through the ERP Financial ledger and matched to GoCardless settlements.
Integrations were executed at the transaction level, reconciling payment portal reports from Global Iris to Sage 50cloud and matching GoCardless direct debit reports to the accounting ledger. One off payments from Global Iris and recurring direct debit flows from GoCardless were captured and reconciled into Sage 50cloud, with transactions posted to membership income accounts. The membership database was updated in parallel to maintain member records as transactions were processed.
Operational coverage included event finance processing, ongoing membership billing, and credit control for outstanding memberships, with the Freelance Finance Officer performing reconciliation and credit control tasks during the peak period from February 2018 to March 2018. Governance centered on transaction reconciliation between payment portals and the Sage 50cloud ledger, and maintenance of membership records to support accounts receivable and collections workflows.
