In 2016 Audax Group implemented Oracle NetSuite ERP to centralize accounting workflows and fund-level financial operations, addressing its ERP Financial requirements. The implementation was led from the accounting organization and aligned with monthly and quarterly close activities for the Management Company.
The NetSuite deployment concentrated on core financial modules and fund accounting capabilities, including month end close orchestration, vendor expense analysis, expense allocation matrix maintenance, P&L by department and project, and the recording of distributions, carried interest, bridging and co-invest transactions, executive distributions, and fee-sharing arrangements across 31 funds and approximately 200 portfolio and holding companies. Oracle NetSuite ERP was configured to support journal entry posting, allocation rules for fund-level expenses, and redesigned expense analysis reporting for executive finance consumption.
Integrations and operational coverage included an implemented Concur AP integration to automate and streamline accounts payable and expense submission workflows, while administration responsibilities for Great Plains Dynamics were retained concurrently during the transition. Treasury operations, Sales and Use Tax audit coordination, and 1099 reporting were managed by the accounting team in conjunction with the NetSuite rollout to maintain continuity of external reporting and tax compliance.
Governance and process restructuring were formalized during the rollout, the accounting lead rewrote travel and expense policy, documented procedures, and maintained an expense allocation matrix to ensure SEC and internal policy compliance. The program also enhanced accounting process controls, instituted monitoring of corporate credit card usage, and produced new analytics driven expense reports and weekly operational reporting to Managing Directors on jet usage, reflecting the operational reporting scope enabled by the ERP Financial implementation.
