In 2015 Audex implemented Microsoft Dynamics NAV as its ERP Financial application. The deployment targeted core finance, procurement and project accounting workflows within Audex Singapore, aligning day to day payable and cash management activities with the ERP Financial instance.
Microsoft Dynamics NAV was used to operationalize purchasing and accounts payable processes, including purchase order creation, vendor credit term application workflows, applying invoices against goods received and goods returns notes inside Navision, and matching supplier invoices with delivery orders and purchase orders. Finance users performed account code updates in Microsoft Dynamics NAV, prepared payment vouchers and managed cheque and urgent cheque processing, while maintaining the cash book and petty cash payment controls.
Operational integrations and touch points included banking channels and payment methods documented in operational procedures, specifically velocity@OCBC, HSBC and Standard Chartered and telegraphic transfer for both project and non project payments, and an external Excel register used to record incoming supplier invoices for accrual purposes. The implementation covered supplier master data administration inside Navision, creating and updating supplier codes and address data, and the reconciliation cycle for monthly supplier statements.
Governance and workflow restructuring focused on strengthened invoice verification and supporting document controls, with finance teams chasing supporting documents from site staff, performing invoice to DO PO validation, maintaining a centralized filing system and attending to queries from suppliers, procurement and project managers.
