In 2020 Auto Trader deployed Eptura Condeco Booking to modernize workplace reservation processes. The Eptura Condeco Booking implementation in Reservation and Booking Management consolidated meeting room booking, meeting room screens, an Outlook add-in, catering requests and back-end utilisation reporting to support a more flexible, collaborative office model.
The deployment combined Condeco meeting room booking software with physical room screens, occupancy lights and an auto-bump policy that frees rooms if meetings do not start within 15 minutes. The solution included the Condeco Outlook add-in to enable booking directly from Microsoft Outlook and to capture additional service requests such as catering within the same booking form, while Auto Trader’s IT team built and configured rooms with guidance from Condeco’s service team and PAs and receptionists required minimal additional training.
Operational rollout began in Manchester and extended to a new London office where an additional thirteen meeting rooms were put onto the platform, supporting Auto Trader’s consolidation of regional offices into a unified scheduling model. Back-end reporting on utilisation, catering and services was implemented and catering options were cost coded to departments to support departmental chargebacks and waste management.
Governance and workflow changes centered on centralizing booking workflows in the Eptura Condeco Booking platform, combining real-time room status, single-form service requests and departmental cost allocation. Auto Trader reported reduced no-shows through the auto-bump feature and more efficient catering management as direct outcomes of the implementation.
