In 2020, Avoca Handweavers Shops deployed Oracle Cloud ERP to centralize finance operations across its 14 retail locations in Ireland. Oracle Cloud ERP was configured as the ERP Financial platform to support Financial Accounting, cashbook and bank account management, payments processing, and compliance reporting for the Avoca group.
Configuration work focused on core financial modules including General Ledger, Accounts Receivable, Accounts Payable, and bank and cash management to support daily cashbooks and inter-bank transfers. Functional configuration addressed store-level processes such as cashbook consolidation, posting of non-creditor payments, staff expenses and petty cash reconciliation, and processing branch transfers and waste accounting. The solution also captured workflow rules for payment run processing, handling payment run rejections and refunds, and supporting FX bank reconciliations.
Operational coverage extended to all Avoca stores and the central finance teams, with the Assistant Accountant and part-qualified accountants operating within Oracle Cloud ERP for daily cashbook inputs, weekly procurement error reporting, and monthly and quarterly close activities. The implementation supported reconciliation of Avoca online payments to internal reports and coordinated ad hoc payment activities in conjunction with the Aramark treasury team. Accounts Receivable and Accounts Payable workflows were instrumented to provide AR support in collating store cashbook data and AP support for payment posting and refunds.
Governance and control features were implemented to support audit and compliance requirements, including Intrastat submissions, VAT and RTD reporting, balance sheet reconciliations, and collaboration with internal audit during the annual group audit. Process controls were formalized around bank reconciliations, FX reconciliation, and loss prevention activities at store level to improve financial control and reporting consistency. Ongoing process improvement inputs were structured to provide continuous enhancements to financial controls and reporting within the Oracle Cloud ERP ERP Financial environment.
