In 2017, Barlean's implemented Sage Business Cloud X3 (ex Sage ERP X3) as its ERP Financial system, replacing Microsoft Dynamics GP as the transactional backbone for finance and procurement. Barlean's is a 130 employee distribution company, and the deployment focused on aligning financial controls with operational purchasing workflows.
The Sage Business Cloud X3 implementation centered on core financial modules and procure to pay capabilities, including general ledger and accounts payable configuration, supplier master data consolidation, purchase order processing, invoice capture and coding, and approval workflow configuration. Business rules and multi level approval chains were configured to reflect Barlean's internal purchasing policies, and chart of accounts mapping was performed to align historical financial reporting with the new ERP Financial structure.
Data migration activities moved master and transactional records from Microsoft Dynamics GP into Sage Business Cloud X3, accompanied by mapping exercises, system and regression testing, and stakeholder led user acceptance testing for procure to pay processes. Paylocity Employee Experience was used to automate payroll runs and compress payroll processing steps while standardizing time approval workflows and digital distribution of HR communications to hourly workers.
Operational scope covered US manufacturing sites and centralized HR and payroll functions, with rollout focused on multi-shift scheduling alignment and day-to-day timecard management. Governance changes included formalizing time approval and payroll cut-off processes and shifting routine employee inquiries into Community and AI-driven assistance to reduce manual HR touchpoints.
