In 2019, BERG Toys implemented AXtension Invoice Processing, an AP Automation application. The deployment addressed a highly manual invoice handling process where physical invoices were routed to departmental managers and later picked up by finance, by introducing digital capture and automated routing.
AXtension Invoice Processing was configured to use Optical Character Recognition scanning for invoice capture, followed by preliminary finance processing before invoice records are created in Microsoft AX2012. The solution applies ledger account based release logic to classify invoices and assign them to parameterized approval workflows, and authorizations are enforced to route invoices to the specific approvers required for signature.
Operationally the implementation connects departmental approvers and the finance team to Microsoft AX2012, with invoices scanned into AXtension, posted into AX2012, then moved into the correct workflow for approval and final release. The payment flow is automated so that once required signatures are captured through the configured workflows, invoices are released automatically for payment using the installed payment workflows.
Governance was established through configurable workflow parameters and authorization rules that control signature routing and release logic, enabling extension of functionality as business needs evolve. BERG reported that the process has become more automated and less time-consuming, and AXtension’s support and consulting resources were used for configuration guidance and to address more complex topics.
