In 2013 Best Western France deployed Kofax ReadSoft Online as its AP Automation solution at the Courbevoie accounting center, initiating a two year program running from July 2013 to June 2015. Kofax ReadSoft Online was configured to centralize supplier invoice capture, supplier account creation, and third party database updates for group companies, supporting ongoing accounting operations during that period.
The implementation focused on core AP Automation workflows including automated invoice capture and coding, creation and maintenance of supplier accounts, preparation of accounting and analytical allocations, reconciliation of internal purchase orders with group company invoices, and the accounting of supplier invoices and credit notes in ReadSoft. Operational volumes reflected a steady state of approximately 400 supplier invoices per month and a separate Mapotel file flow of 200 invoices per month, both processed and printed through the ReadSoft-enabled workflow.
ReadSoft was integrated into the group application landscape, with employee account and profile provisioning on NOTILUS, HAVAS and SAGE systems, and fixed asset entries, disposals and depreciation calculations processed into the SAGE Immobilisations module. The project handled the Mapotel file with dedicated print output and managed a recurring deposit flow to PEGASUS ONYX, while archival retention was operated through LOCARCHIVES.
Governance and operational controls were embedded into the workflow, with invoice validation performed by business sponsors and verification of analytical sections after sponsor approval. The accounting team executed scheduled payment campaigns on the 15th and 30th of the month, weekly supplier installment runs on Wednesdays, dispute management with operational staff, lettering and reconciliation of accounts 401, 471, 4091 and 4097, processing of employee expense reports via NOTILUS, participation in interim accounting closes with inventory entries such as FNP, AAR, CCA, INTERCO and exchange of goods, and preparation and transmission of the DAS2 filing.
