The initial Accredo Saturn deployment focused on accounts payable processing, purchase order authorisation and creditor invoice approval, reflecting a targeted move to automate routine finance tasks. Accredo Saturn was configured for batch processing, automated import routines for Trade Me marketing reconciliation, and will be extended to include a Fixed Assets module as the next functional addition. The implementation emphasized configurability so Accredo Saturn could be adapted to BestStart’s operational workflows and reporting needs. Architecturally the solution couples a central Accredo Saturn instance with data capture technology, integrating Xtracta optical character recognition into accounts payable intake. Zeal Systems built a web platform that ties into Accredo Saturn and Xtracta, enabling staff at individual centres to log in and review invoices and supporting documentation while preserving existing in-house reporting feeds. The integration approach enabled Accredo Saturn to coexist with BestStart’s custom reporting environment and other operational systems during an incremental rollout. Process governance preserved BestStart’s existing approval workflow, ensuring each invoice is routed to the appropriate approver before payment. Zeal Systems also developed tailored reporting extracts from Accredo Saturn to match executive and centre manager requirements, reducing manual manipulation of data. Moving accounts payable processing in house was implemented alongside these governance controls to centralise invoice handling and improve traceability. Reported benefits from the Accredo Saturn implementation include more efficient and insightful reporting, significant reductions in manual data entry for reconciliation tasks, and faster batch reconciliation for invoices. Bringing accounts payable processing in house reduced dependence on a third party for invoice queries and allowed BestStart to automate routine tasks and reassign staff to higher value activities.

Governance and rollout relied on rapid adoption tactics, including discovery and knowledge sharing during the first week, identification of internal champions, and centralized reporting governance to answer executive questions. Reported outcomes from BestStart include improved candidate experience, faster visibility into vacancy age and application volumes, quicker rejection processing to triage high volume roles, and the ability to manage end to end onboarding through JobAdder ATS.
