Prior to the Stampli deployment, Beyer Mechanical relied on PaperSave while Sage Intacct was not integrated with that system, producing unreliable PO matching, duplicate invoices, and frequent UI stalls of 15 to 20 seconds when clerks accessed POs. The Stampli AP Automation Platform was configured to apply AI-driven invoice capture and automated coding, and to surface approver selection to reduce manual routing and per-invoice manager approvals.
The technical integration focus was the Intacct to Stampli API connection, which was completed in less than 48 hours, and clerks were entering invoices independently the next day. Stampli was set to send approved invoices to Sage Intacct for payment, and Beyer Mechanical ingests service contract POs that are imported nightly by a third party so that all POs reside in Intacct for matching.
Operationally the rollout concentrated on the accounts payable team and the finance function, shifting routine coding and approver assignment from clerks to Stampli automation and changing approval workflows for managers. As an outcome stated by the controller, invoices became current and the platform facilitated a rapid pivot to remote work during the pandemic, enabling finance leadership to focus on business decisions rather than backlog management.
