In 2017, Blue Care implemented Microsoft Dynamics 365 for Finance and Operations to establish an ERP Financial backbone for procurement, accounts payable, and maintenance-related financial workflows. The Microsoft Dynamics 365 for Finance and Operations deployment was positioned to centralize finance and procurement processes while supporting facilities and maintenance operations across the organisation.
Configuration focused on procurement and maintenance financials, including raising purchase orders using Concept, raising work orders and maintenance orders using Concept, and coding invoices both in Basware and directly into Microsoft Dynamics 365 for Finance and Operations. Operational financial controls included procurement card reconciliation and invoice coding workflows, and scheduling of programmed preventative maintenance for more than 1500 sites.
The implementation integrated explicitly with Concept for purchase and work order capture, Basware for invoice processing and coding, and Smartek for compliance updates, creating a feed of compliance and maintenance status into the ERP Financial system. The system supported day to day liaison with maintenance officers and facility managers and coordination with contractors for emergency and urgent matters, tying maintenance execution to financial posting and supplier interactions.
Governance and operational processes were adapted to embed safety and WH&S protocols into maintenance and procurement workflows, and to formalize communication channels including face to face, email and phone support for customers, employees and suppliers. Business functions impacted included facilities management, maintenance operations, procurement and finance across retirement villages, nursing homes and 300 plus commercial properties throughout QLD and the NT.
