| Quadient | Legacy | Quadient BeanworksAP | AP Automation | ERP | n/a | 2020 | 2020 |
In 2020 Book Depot implemented Quadient BeanworksAP for AP Automation to modernize accounts payable workflows within its Finance and Accounting function. The deployment focused on handling roughly 600 vendor invoices per month and centralizing invoice approvals that previously required sign-off from 12 managers, with a single AP clerk operating as the primary system administrator and operator.
The implementation leveraged Quadient BeanworksAP core capabilities, including auto-capture invoice data extraction to eliminate manual data entry, configurable approval routing for multi approver sign-offs, invoice coding workflows for general ledger attribution, and a web based review interface that supports mobile and desktop approvals. Configuration emphasized reducing manual touchpoints, automating invoice capture and validation, and enforcing multi step approval chains consistent with AP Automation functional practices.
Architecturally the solution was delivered as a cloud hosted web application accessible to approvers from computers and mobile devices, and it was integrated with the companys accounting system Sage 300 to export coded invoices for posting. Operational coverage remained concentrated in the Finance and Accounting organization, with the AP clerk coordinating user onboarding, exception handling, and ongoing administration of approval workflows.
Rollout was executed with lightweight user training led by the AP clerk, approvers required only short five minute sessions to become productive, and the web based interface supported largely self explanatory adoption. As an explicit outcome Book Depot reduced total AP processing time from 30 hours per week to six hours per week, while reducing manual coding and data entry and improving the teams ability to detect unusual transactions through captured invoice detail in the accounting system.

The implementation included administrative console configuration for inventory controls and booking rules, and standard booking lifecycle workflows such as booking creation, modification, and cancellations. ResNexus Booking was configured to support online booking flows directly from Book Depot product pages.
Operational coverage focuses on e-commerce and customer service functions within Book Depot, with the website acting as the primary touchpoint for Canadian customers. The architecture is delivered as an embedded booking service paired with an administrative management interface, enabling operations teams to manage schedules and reservations through the ResNexus Booking console. Integrations noted in the record are limited to website embedding, no other named downstream systems were provided.
Governance adjustments consolidated reservation intake onto the website and restructured front office booking workflows to operate via the ResNexus Booking interface. Role based access controls and targeted training for operations and customer service staff were applied to sustain booking rules and day to day reservation management.
