In 2013 Brightwater Care Group upgraded its Epicor ERP to Epicor 10, implementing Epicor ERP as its ERP Financial backbone to support Finance, Senior Living Solutions and Customer relationship management business functions. The engagement was delivered as a secondment subject matter expert role focused on the major system upgrade from Epicor 7 to Epicor 10 and included program-level planning and orchestration of test, migration and cut-over activities.
The implementation scope covered functional modules across core finance, senior living operations and CRM workflows, with explicit planning and coordination of user acceptance testing for system users across those areas. Training and enablement were formalized, including development of role-based materials and delivery of interactive three hour workshops for key users such as administration assistants and managers to walk through functionality mapped to specific staff responsibilities. Progress tracking processes were developed to accurately record and report UAT and training status.
Data migration workstreams were coordinated to move client and financial information into Epicor 10, including technical remapping efforts for integrated expense data. The project liaised with consultants to integrate the expense management system Concur into Epicor 10 based on an updated chart of accounts, performing remapping of fields from the Concur extract file into the new Epicor 10 data model. The upgrade also evaluated impacts to the purchasing system ARM and the clinical management system iCare as part of an integration portfolio that accounted for five key system connections.
Governance and cut-over planning were formalized to control the transition window, balancing resource availability and the impact on financial reporting timelines. The implementation included review of updated Epicor 10 process capabilities to identify opportunities to streamline operational workflows, and the subject matter expert role contributed to the cut-over plan and integration sequencing to support a coordinated go live.
