The nonprofit has about 25 employees and operates in all states of Australia, and the Microsoft Dynamics NAV deployment supported processing and recording of vendor invoices originating from offices around the country.
The implementation focused on accounts payable workflows within Microsoft Dynamics NAV, including invoice capture and coding, cost center allocation, payment journal entries, and reconciliation controls. Operational configurations reflected handling of staff expenses, vendor bills, staff mileage expenses, debit card transactions and a flexi purchase account, with Company cards reconciled and recorded in the payment journal after manager approvals.
Operational governance emphasized a centralized AP process in the finance team, manager approval gates before payment posting, and audit-oriented invoice filing after processing. Day to day use by Accounts Payable specialists included entering approved direct debit items into the payment journal and maintaining reconciliations for approximately 20 company cards while processing roughly 120 to 150 invoices weekly in Microsoft Dynamics NAV, preserving financial control across Camp Quality’s nationwide operations.
