In 2014, Capacit'e implemented RIB Software BuildSmart ERP to standardize delivery and project accounting as the firm scaled rapidly across the Mumbai Metropolitan Region, National Capital Region, Bengaluru and other major Indian cities. The deployment targeted Construction ERP requirements to support Capacit'e Infraprojects after it secured 25 projects and built an order book of Rs 4000 crore while planning rapid revenue growth between FY 2013-14 and FY 2015-16.
RIB Software BuildSmart ERP was configured to map the full procurement and consumption lifecycle, including creation and maintenance of item master and vendor master records, purchase and subcontract requisitions, budget provision checks and approvals, purchase order and work order finalization, goods receipt notes and site receipt notes booking, and vendor bill posting against GRN and SRN. The implementation leveraged construction specific plug and play capabilities such as a material store for permanent and consumable items, a site establishment store for pooled site establishment expenses with pro-rata cost booking, a yard store for formwork assets with monthly charge debits, and automated monthly plant and machinery charging. Activity codes, cost codes and ledger codes were established to categorize and book costs, and the accounting module was configured for compliance with Indian statutory requirements.
Operational rollout used a phased sequence with preceding year data imported, the purchase cycle implemented first, followed by the subcontracting cycle and then the accounting module to enable live online information and process control. The go live covered 25 project sites and three corporate offices and was completed in less than six months during FY 2014-15. The implementation workstream was executed by a compact team of five contributors drawn from IT, accounts, purchase and stores.
Governance changes included mapped approval controls for budget provision and requisition approvals, centralized material and site establishment stores to standardize charge-out practices, and budget entry provisions for live variance tracking. Outcomes explicitly reported by the customer included improved efficiency through completed store and charging configurations, effective enterprise accounting and project cost control that reduced repetitive MIS work, and a reduction in manpower requirement in Purchase, Accounts and Stores following the BuildSmart implementation.
