In 2018 Capitol Toyota Dealership implemented Auto Master Systems (AMS) DMS to centralize vehicle contract processing and financial document posting. The Auto Master Systems (AMS) DMS was deployed as a Dealership Management application to support day to day sales finance workflows and document control across the dealership.
The implementation focused on contract management and F&I processing, with explicit use of AMS for posting retail and lease contracts into the accounting system to balance accounting records. Functional capabilities documented in operational use include contract review and validation, vehicle retail and lease payoff processing, refund and dues check runs, DMV processing support, shipment tracking and filing, and year end off site storage management.
Operational coverage extended across Finance, Sales and HR, with AMS acting as the central repository for contract and accounting postings while HR onboarding and training enrollment continued through KPA. Payroll processing was performed on a weekly to monthly cadence as part of established HR procedures, and staff coordinated lender paperwork and funding activities while using AMS to record funded contracts and related accounting entries.
Governance and workflow changes included a contract quality control protocol that routed missing documentation back to Finance and Sales for remediation, timecard approval workflows that routed exceptions to department management, and a designated owner for off site year end storage.
