In 2018 Carers NSW implemented Microsoft Dynamics GP as its ERP Financial system, replacing MYOB Greentree in a project delivered on time 30 June 2018 and under budget. The engagement covered core finance and reporting for the not for profit, with deployment decisions aligned to the organisation's Sydney headquarters and multiple regional offices across New South Wales.
The Microsoft Dynamics GP implementation focused on core financial modules and management reporting, with four named GP users and configuration to support annual budgeting workflows. The programme included business analysis driven gap assessments to account for ceased programs and newly scoped programs, and assistance in authoring new management reports and preparing the annual budget inside Microsoft Dynamics GP.
Parallel deployments extended the ERP Financial footprint, with HR3 Payroll and HR implemented and integrated to Microsoft Dynamics GP, and a staff kiosk rolled out to approximately 70 users to enable online leave and expense claims. Microsoft Dynamics 365 CRM was deployed on premise using the UpBeat extension to Customer Engagement by Professional Advantage, and ClickDimensions replaced Mailchimp and Survey Monkey to consolidate marketing automation within the CRM environment.
The project delivered complex data migrations, migrating approximately 500,000 records from a legacy Microsoft Access system into Microsoft Dynamics 365 using ScribeSoft for transformation and multi entity mapping, and executed a live cutover that included final data migration into Microsoft Dynamics GP. Integration work explicitly included HR3 to Microsoft Dynamics GP connections, and the programme incorporated user acceptance test planning and issues management through to go live.
Governance and operational change were led through a contracted project manager and business analysis function, with vendor and stakeholder management, budget management, and structured UAT and cutover processes across finance, HR, payroll, CRM and program support functions. The implementation centralized financial systems onto Microsoft Dynamics GP within Carers NSW, while creating an integrated operational stack spanning payroll, HR, CRM and marketing automation.

ReadyTech HR3 was configured to deliver payroll and Core HR capabilities including payroll processing, employee self-service for leave requests and online expense claims, and kiosk-based time and claims entry. The implementation included formal business analysis and gap analysis to capture changes in program scope, complex data migration preparation, development of a user acceptance test plan, UAT execution with issues management, and a coordinated live cutover including final data migration.
The HR3 deployment was integrated with Microsoft Dynamics GP to align payroll transactions with finance processes, and the wider program also delivered Microsoft Dynamics GP 2018 for finance and a Microsoft Dynamics 365 CRM on-premise instance. Program-level data migration work included large-scale transfers into Dynamics 365 using ScribeSoft, and the solution footprint extended to ClickDimensions for marketing automation, enabling consolidated data flows between HR, finance, and CRM systems.
Project governance relied on dedicated project management, vendor and stakeholder management, and budget oversight, with UAT-led validation and tracked issue remediation. The ReadyTech HR3 payroll and HR rollout went live on 30 June 2018 followed by kiosk enablement for staff, enabling online submission of leave and expense claims, and the finance component on Microsoft Dynamics GP was delivered on the same timeline with the finance implementation reported as on time and under budget.

Integration work included a point to point integration of HR3 to Microsoft Dynamics GP, and a bulk data migration of approximately 500,000 records from an MS Access database using ScribeSoft to transform and map data into multiple CRM entities. Marketing automation was consolidated by replacing Mailchimp and SurveyMonkey with ClickDimensions inside Microsoft Dynamics 365 CRM, centralizing outreach and contact activity within the Association Management environment.
Project governance ran on a 12 month contract model with dedicated project management and business analysis, including gap analysis, UAT plan development, user acceptance testing and issues management leading to a live cutover and data migration.
