In 2018 Carers NSW implemented Professional Advantage Upbeat as its Association Management platform, centralizing CRM and constituent management across its Sydney headquarters and regional offices in New South Wales. The deployment covered CRM-driven member engagement and case workflows alongside finance, HR and payroll functionality.
The Professional Advantage Upbeat implementation delivered an on premise Microsoft Dynamics 365 CRM instance extended by UpBeat, configured for constituent relationship management, case management and member engagement workflows. Parallel financial and HR systems included Microsoft Dynamics GP 2018 for core financials and HR3 for payroll and human resources, replacing Greentree MYOB for ERP and payroll, and a staff kiosk was provisioned to enable approximately 70 users to submit expense claims and leave online.
Integration work included a point to point integration of HR3 to Microsoft Dynamics GP, and a bulk data migration of approximately 500,000 records from an MS Access database using ScribeSoft to transform and map data into multiple CRM entities. Marketing automation was consolidated by replacing Mailchimp and SurveyMonkey with ClickDimensions inside Microsoft Dynamics 365 CRM, centralizing outreach and contact activity within the Association Management environment.
Project governance ran on a 12 month contract model with dedicated project management and business analysis, including gap analysis, UAT plan development, user acceptance testing and issues management leading to a live cutover and data migration. Deliverables recorded include Microsoft Dynamics GP 2018 for four finance users delivered on time and under budget on 30 June 2018, the HR3 payroll and kiosk rollout completed on 30 June 2018 for staff, and the Microsoft Dynamics 365 CRM solution delivered on Professional Advantage Upbeat with integrated marketing automation.
