The configuration also covered financial workflows for accounts receivable and accounts payable, processing of EFT payments, purchase order handling and reconciliation, and maintenance of accurate participant service and budget tracking between therapists and administration.
The implementation operated alongside named financial and client systems, with routine extraction of reports and data from Xero and CTARS and use of the NDIS Providers Digital Access PRODA for fund verification, plan period checks and determination of fund management type. Nightingale Client Management produced billing data and month end billing reports for managers and interfaced operationally with the finance team for invoice reconciliation, journal processing and verification of credit card transactions.
Governance and process controls were embedded in day to day operations, with business rules for classifying expenditure codes, processing journals to correct misallocated spend, quarantining funds against plan schedules and auditing participant service hierarchies. Operational practices emphasized adherence to service standards and safety policies, regular liaison between administration, therapists and finance to address changes in fund management or plan eligibility, and maintenance of up to date records to support timely distribution of financial and activity reports.
Explicit operational outcomes recorded in the role notes included ensuring accuracy and integrity of data to meet tight deadlines, timely distribution of reports to key areas, reconciliation of purchase order invoices with finance and billing approximately 660 therapy participants monthly. The Nightingale Client Management deployment thus anchored patient management, billing and budget governance for Carpentaria's therapy operations while integrating with existing financial and NDIS verification processes.
