In 2015 Catalina deployed Ascend SmartTouch Accounts Payable. The Ascend SmartTouch Accounts Payable application is an AP Automation solution implemented to centralize invoice intake and approval for Catalina, a digital media company that processes between 900 and 1,000 invoices per month and maintains operations in the United States, France, Italy, the United Kingdom and Japan. The implementation used Ascend SmartTouch Accounts Payable modules for capture and processing, including optical character recognition scanning, PO matching, line pairing, invoice locking for coding and approval, automatic line coding, and touch-free mail extraction for emailed invoices. Configuration focused on end to end workflow automation within Accounts Payable and Shared Services, with Ascend handling scanning to PO matching and enforcing coding and approval gates to reduce manual intervention. Ascend was integrated with Catalina’s ERP stack, initially operating with Lawson ERP and later extended to interoperate with Workday as Catalina changed ERP systems, allowing Ascend to retain matching and line pairing logic outside the ERP. Keeping line pairing and matching inside Ascend rather than shifting it into the ERP reduced processing effort for those activities, with Catalina reporting about a one third reduction in time for line pairing when executed in Ascend. Governance and rollout were driven by Shared Services leadership and senior management support, replacing spreadsheet based manual entry and physical invoice attachments with automated workflows and mail extraction. Catalina framed the deployment as a move toward touch free processing, noting 'Thanks to Ascend, we'll be as touch-free as possible', and standardized AP processing across regions while maintaining a lean staffing model.
