In 2019, CEPCO Management implemented CINC Systems Association Management Software, switching from MRI Jenark to centralize accounting and association operations. The decision was driven by the Director of Accounting, Cindy Norris, to remove paper workflows, improve month end financial reporting, and increase communication between the office and field for a southeastern North Carolina association management firm.
The implementation of CINC Systems Association Management Software focused on core financial and association management capabilities, including accounts receivable and payable workflows, document storage to enable paperless invoicing and backup access, and consolidated reporting to accelerate month end close. Configuration emphasized role based access for accounting staff and portfolio managers, and the solution was used to standardize board reporting and operational procedures across multiple homeowner association accounts.
CEPCO replaced MRI Jenark and rolled the new platform into accounting, portfolio management, and field communication processes, with training that combined a session at CINC Systems headquarters and a week of on site customer success support. Operational scope included HOA management and door level portfolio growth tracking, supporting CEPCO’s expansion without proportional increases in back office headcount.
Governance and process changes centered on a paperless mandate and standardized month end workflows, enabling measurable operational outcomes documented by the vendor. Reported outcomes include more than 3,000 additional doors in the first four years, 36 percent growth since 2012, an average decrease of 15 days in month end report production, and minimal accounting headcount growth with only one additional accountant; ownership of the firm was consolidated when Cindy Norris purchased the company in 2019.
