Operational tooling for the Mailing System was coordinated with office IT platforms including Windows 10 Professional and Microsoft Office 365 for job documentation, Microsoft Teams for team coordination, and QuickBooks 2020 for account billing, coding invoicing, and authorization of payments to service vendors Asendia, UPS, USPS, FedEx, and DHL. The implementation also incorporated on site and off site file room imaging and indexing processes to link physical mail handling with archive document retention workflows. Governance for the mail center included centralized oversight of incoming and outgoing mailroom functions, review and approval of new service contracts through written and electronic correspondence, and collaboration with the IT Manager to provision audio visual resources such as laptops, conference phones, and projectors. Operational controls emphasized staffing allocation, inventory and facility management, and secure handling procedures aligned with existing office software and equipment.
