In 2015, Chapin & Russel Associates implemented alloFactor for Medical Practice Management, Billing and EMR. The deployment targeted clinic operations supporting 10 counselors and centralized front desk, billing, appointment scheduling and collections workflows within the practice.
Chapin & Russel Associates configured alloFactor to run and balance daily productivity reports of daily invoices, produce balance daily collection statements, and generate appointment lists that surface client balance and copay information for counselors. The implementation included modules for claims billing and deposit posting where staff enter insurance deposits in the alloFactor billing system, a document imaging workflow to scan Explanation of Benefits into alloFactor, and scheduled reporting to produce patient outstanding balance lists for pre collection statements.
Operational coverage focused on the billing department, front desk schedulers, and counselor-facing administrative staff. The practice designated a direct contact person to verify and document health insurance benefits on each client account, to provide verified benefit details to counselors, to answer client insurance claim questions, and to act as the liaison to the medical collection agency. The implementation also tracked employer group programs, specifically EAP and subcontract EAP arrangements, within the application.
Governance and day to day workflow were operationalized around standardized benefit verification and benefit documentation per client account, daily reconciliation tasks that balance collection statements, and distribution of appointment lists with copay and coinsurance amounts for point of service collection. alloFactor was used to unify billing, scheduling, insurance verification and revenue cycle operational functions for Chapin & Russel Associates.
