In 2016, Chugai Pharmaceutical implemented IDBS E-WorkBook as a Content Management solution to reduce reliance on paper notebooks and mitigate the risk natural disasters posed to physical records. The decision followed internal consultations with Roche and a Chemistry Department manager who had prior ELN experience, and it targeted reduced paper use and fewer physical record storage areas across the Research Division.
The deployment used a user-buy-in rollout rather than a top-down mandate, beginning with a six month pilot in oncology pharmacology groups where teams analyzed practical workflows and how to link existing paper documents to electronic experiments. IDBS E-WorkBook was configured to capture scanned handwritten notes, drag-and-drop instrument files and PDFs, and structured SOP-driven experiment templates, while initial return on investment was measured during the pilot. The vendor IDBS worked alongside regional partner CTC Life Sciences Corporation and implementation partner ITOCHU Techno-Solutions Corporation to provide domain expertise and training, with simple introductory sessions followed later by hands-on training for larger cohorts.
Integrations implemented included direct links from ELN entries to servers hosting raw instrument data, enabling traceability back to original files and faster retrieval via keyword search. Operational coverage focused on the Research Division with explicit adoption in pharmacology, analytical instrument groups, and pre-formulation teams, and a planned production rollout to the entire research division and subsidiaries outside Japan throughout 2016. Governance emphasized a high-level roadmap, group kick-off meetings to surface operational issues, department-level business analysis, and flexible migration from paper with no fixed go-live date to allow users to transition when appropriate.
Chugai reported explicit productivity and efficiency outcomes after deployment, including productivity gains of 20 to 30 percent for pharmacology scientists, up to 50 percent for pre-formulation groups on SOP-driven work, and 30 percent efficiency improvements for analytical groups. The implementation increased the depth and quality of experimental records through easier attachment of raw data and instrument screenshots, improved searchability and witnessing, reduced physical storage requirements, and lowered operational risk associated with paper-based notebooks.
