The implementation mirrored data elements tracked in the citys existing home grown applications, including Request Type, Location, Department, Common Tasks, Contractors, In Stock Parts, Scheduled Maintenance, Staff, Staff Hourly Rates and Vendors, and was configured to capture transactional work order attributes and maintenance scheduling. Named integrations scoped in the RFP included a read write integration with SeeClickFix to create work orders from SeeClickFix tickets and to update ticket status as work orders progress, and a read level integration with CentralSquare Naviline utility billing to ingest meter readings, billing attributes and consumption data. Asset data remained in SQL Server using LGIM or extended ArcGIS compliant tables, and the deployment included direct access to those SQL/ArcGIS tables for asset reconciliation and geospatial linkage. The City receives USA 811 markout requests via email and the implementation scoped email ingestion options such as IMAP or SMTP connectors with automated parsing and structured field extraction to create CMMS callout records, or alternate API ingestion if available, with data samples to be provided to the selected vendor. Governance and rollout were defined to migrate history only for the three modules in the initial phase, with subsequent module migrations scheduled during later phases, and the City stated it will share internal evaluation artifacts after the anticipated contract award date of 6/20/22. Operational scope centers on the Water and Wastewater Department maintenance organization, with existing work order volumes documented at approximately 15,000 records in Facilities Maintenance and 30,000 records in Water System Maintenance, and selective data migration and validation processes planned as part of deployment services.
