Workday Legacy Workday Financial Management ERP Financial ERP Financial Management n/a 2015 2016
In 2015, City Year implemented Workday Financial Management. City Year implemented Workday Financial Management as an ERP Financial system to provide consolidated financial visibility across its geographically distributed operations, enabling executive directors to access real-time financial results for their geographies without dependence on central finance. The deployment leveraged native financial management capabilities, including real-time reporting and a tagging model using Worktags that enables natural-language business transactions and human-readable spend categories. Workday Financial Management configuration mapped spend categories to named Worktags so reports display semantic labels rather than numeric account codes, simplifying cost and resource views for nonfinance users. Operational coverage included finance, executive leadership, and field operations tied to service excellence, recruiting and development, fundraising, and relationship building with schools, the community, and private sector partners. The CIO and IT team positioned themselves as professional enablers, collaborating with business owners to anticipate growth-related issues, identify recurring data analysis patterns, and develop enterprise-wide reporting and analytics solutions that could be consumed by geographic leaders. Governance and capability building emphasized embedding business systems managers who blend domain expertise with business analysis skills, described as 50 percent the ability to listen and interpret business requirements, and 50 percent domain expertise. City Year also invested in internal training and redeployment of staff with strong curiosity about Workday to support adoption, which simplified accounting across the organization and enabled faster, data-informed decisions by local leaders.

American Express Global Business Travel Legacy American Express Axiom Travel Management ERP Services and Operations n/a 2015 2015
In 2015, City Year implemented American Express Axiom for Travel and Expense Management. The deployment supported the nonprofit's finance operations across roughly 26 field sites and 10 headquarter departments, servicing approximately 500 cardholders within a 900-person organization and handling monthly travel account volumes in the range of $400,000 to $500,000. The implementation centered on core travel and expense management workflows, including corporate card reconciliation for American Express corporate pay cards, centralized monthly travel account reconciliation, expense report submission and approval routing, and control of employee reimbursement flows. American Express Axiom was configured to support accounts payable accruals and month-end close activities that feed the finance team processes for monthly and annual reporting, and to align with GAAP-compliant accounting routines used by City Year. American Express Axiom was integrated operationally with City Year finance processes and the cloud ERP Workday for general ledger posting, chart of accounts mapping, and to support monthly close and audit reconciliations. The solution was operated in conjunction with manual controls performed by accounts payable coordinators who reviewed A/P entries and employee reimbursements daily, and reconciliations of both Amex and Bank of America pay card activity were part of the routine close cycle. Governance emphasized finance-led oversight, with senior staff accountants training and mentoring AP coordinators and site finance staff on Axiom workflows, reconciliation procedures, and close checklist ownership. The deployment supported audit preparation and recurring monthly close tasks, and operational responsibility was embedded within the finance department to maintain consistent policy enforcement and reconciliation discipline across sites.
