The implementation centered on core travel and expense management workflows, including corporate card reconciliation for American Express corporate pay cards, centralized monthly travel account reconciliation, expense report submission and approval routing, and control of employee reimbursement flows. American Express Axiom was configured to support accounts payable accruals and month-end close activities that feed the finance team processes for monthly and annual reporting, and to align with GAAP-compliant accounting routines used by City Year.
American Express Axiom was integrated operationally with City Year finance processes and the cloud ERP Workday for general ledger posting, chart of accounts mapping, and to support monthly close and audit reconciliations. The solution was operated in conjunction with manual controls performed by accounts payable coordinators who reviewed A/P entries and employee reimbursements daily, and reconciliations of both Amex and Bank of America pay card activity were part of the routine close cycle.
Governance emphasized finance-led oversight, with senior staff accountants training and mentoring AP coordinators and site finance staff on Axiom workflows, reconciliation procedures, and close checklist ownership. The deployment supported audit preparation and recurring monthly close tasks, and operational responsibility was embedded within the finance department to maintain consistent policy enforcement and reconciliation discipline across sites.
