In 2015, Conifer Realty, LLC implemented Yardi Utility Expense Management. The deployment targeted Conifer's residential property operations and addressed a paper-driven utility invoice workflow in the Real Estate Property Management category.
Yardi Utility Expense Management was configured to process, validate, and store incoming utility invoices, creating automated payable processing and standardized GL coding across the portfolio. Functional capabilities implemented include invoice ingestion and archival, vendor account reconciliation, automated accounts payable creation, programmatic audit routines for billing errors, detection of missing bills, and calculation routines to identify vacant cost recovery opportunities.
The solution receives account information and utility data directly from the utility companies servicing Conifer properties, eliminating manual collection of paper invoices at community manager level. Processed invoice data was integrated into Conifer's accounting and accounts payable workflows to ensure consistent general ledger coding and to enable centralized invoice approval and payment orchestration.
Operationally the rollout reduced reliance on site staff for manual data entry, moved utility billing governance to a centralized validation engine, and instituted audit controls to catch late or missing invoices before late fees accumulated. The implementation directly addressed prior exposure to late fees that could exceed $50,000 per year and the added expense of last minute overnight check payments, while delivering more accurate accounting and GL coding through Yardi Utility Expense Management.
