The implementation integrated capture and workflow capabilities, deploying Kofax Capture for document capture and e5 Workflow for web-based approval routing. Microsoft Dynamics GP was configured to receive exported invoice data, automatically identify branch and division attribution, and trigger complex approval workflows through structured mappings and validation rules to reduce manual data entry. Xcellerate IT was engaged as the preferred solution provider to implement the invoice automation solution and manage integration between the capture platform and Microsoft Dynamics GP. Operational scope centered on Accounts Payable, delivering end-to-end processing from invoice capture through electronic approval and posting into the ERP Financial system while standardizing workflows for regional and divisional routing. Governance and process changes included centralized web-based workflow management, automated duplicate detection, and formalized export of transactional data into line of business systems to minimize manual intervention. The project produced the stated outcomes of greater invoice visibility, duplicate identification, streamlined approval paths, and reduced manual entry time and costs for AP staff.

Deployment architecture followed a phased rollout pattern with three Go-Lives across Cotton On Group headquarters, retail stores, and distribution centre divisions, covering all eight brands in Australia. The operational coverage targeted HR, recruiting, learning, and workforce planning functions, enabling centralized absence tracking and cross-module visibility for managers and HR business partners. Project governance was led in collaboration with Certus APAC using an agile CloudSure methodology, focusing on single platform ownership and process standardization. Governance changes emphasized removal of manual tasks, automation of reporting, consolidated staff records, and improved transparency of performance and recruitment processes, with an ongoing roadmap for further HCM adoption.
