In 2023, the Department of Veterans Affairs contracted 8common to deploy 8common Expense8 for Expense Management under the Australian Government GovERP deed. The three year agreement records a total contract value of $895k including GST covering implementation and ongoing transaction and SaaS recurring revenue, and will onboard approximately 2,600 users within the agency which sits in the Department of Defence portfolio. The contract contributes to GovERP program implementations that now exceed $5.5 million since the deed was signed in July 2021, and 8common currently reports servicing over 23,000 live federal government users across 31 entities with a federal ARPU of about $50.
Deployment uses the GovERP template design of the 8common Expense8 platform to provide a unified Expense Management and travel solution across agency finance, corporate services and travel workflows. Configuration work focuses on travel and expense management workflows, expense capture and receipt processing, approvals and policy enforcement, transaction processing and consolidated reporting. The implementation scope is centered on SaaS provisioning and tenant configuration consistent with multi agency GovERP templating.
Implementation revenue of approximately $460k including GST is anticipated to be recognised across second half of FY23 and first half of FY24, with recurring transaction and SaaS revenue forecast to commence in second half of FY24 and approximate c$140k including GST per annum. The onboarding plan leverages Phase 0 Discovery workshops as the pre onboarding phase for Federal Government agencies, which 8common uses to finalize configuration and user acceptance prior to roll out. Operational coverage is confined to Department of Veterans Affairs users with the platform provisioned to support travel booking, expense claims and transaction processing for approximately 2,600 employees.
Governance follows the GovERP program template, with discovery to configuration handover, formalised onboarding waves and SaaS transaction billing aligned to the contract timetable. Process changes are concentrated on standardising expense policy enforcement and approval routing to the GovERP template, and on establishing ongoing transaction processing and SaaS billing procedures.
The arrangement explicitly identifies implementation and recurring revenue lines within the $895k contract value and adds to 8common's federal pipeline across the GovERP program, supporting further agency onboarding planned through FY23 and into FY24. The deployment positions the Department of Veterans Affairs to use 8common Expense8 for centralized Expense Management and travel expense operations under the GovERP template.
