In 2013, Direct Rail Services implemented Sage Business Cloud X3 (ex Sage ERP X3) as an ERP Financial solution. The engagement was scoped as an assignment to review a stalling project and get it back on track, working directly with the in-house PMO to reassess the initial business case, evaluate alternatives to the chosen product and supplier, and size in-house resources required alongside BAU.
The project team compiled a functional requirements document covering all areas of the business to secure cross-departmental buy-in, with explicit alignment of Manufacturing and Procurement plans to the ERP Financial implementation. Configuration emphasis included Job Costing using X3 Dimensions functionality, inventory and stock ledger simplification, and defining the datasets required to populate KPI reporting and SMT dashboards.
Technical and data workstreams included mapping coding from Sage 500 to Sage Business Cloud X3 (ex Sage ERP X3), simplifying the current NL 13 character code structure, and rationalizing master data for 4500 plus SKUs across 18 stockholding depots. Operational coverage targeted finance, procurement, stock management and job costing modules, and embedded executive reporting requirements into the solution design.
Governance activities addressed supplier contract review for Public Sector procurement compliance and OJEU issues, and the PMO assessed tradeoffs between project delivery and BAU resourcing. The review also identified key process improvement areas deliverable with Sage Business Cloud X3 functionality and flagged potential impacts on job roles as part of rollout and workflow restructuring.
