In 2019, Dropbox implemented Brightflag, a Legal Practice Management application to automate legal spend workflows and reduce manual invoice handling. Dropbox operates globally and its legal team manages hundreds of matters and thousands of invoices each year, creating a cross-functional requirement spanning Legal, Finance and Accounts Payable.
Brightflag was configured to leverage its patented AI invoice review engine, one-step matter opening, Vendor Pay Sites for vendor-side validation, accruals automation, fixed and capped fee application for IP spend, and out-of-the-box plus custom reporting dashboards. The Brightflag implementation centralized invoice review and matter intake processes, enforcing Dropbox billing guidelines consistently and reducing administrative burden on attorneys.
Operationally Brightflag was integrated directly with Dropbox’s AP system, enabling upfront validation of legal entity and currency combinations at vendor submission and eliminating the prior back-and-forth invoice rejections workflow. Accruals automation was aligned with month-end close processes, and dashboards provided drill-down visibility across matter types, vendors and practice areas to support finance and legal decision making.
Governance for the rollout was led by a cross-functional selection panel of lawyers, operations and finance staff that defined three objectives: remove manual work for AP, increase visibility into legal spend, and free attorney time. Implementation restructured workflows to validate invoices at source, apply standardized billing rules during automated review, and allow legal operations to open matters in a single step.
Dropbox reported explicit operational outcomes following Brightflag go-live, including one-step matter opening reducing per-matter time from 10 minutes to 30 seconds with an annual time savings of 4 days, AP routing automation saving 48 days annually, accruals automation saving 24 days annually, and elimination of invoice currency and entity issues saving 12 days annually. Brightflag also reduced accrual processing by two days per month and increased the proportion of vendors submitting accruals, while providing faster, actionable spend reporting for the legal and finance teams.
