In 2018, Evidence Action implemented Infor Lawson to centralize core ERP Financial processes across its India operations supporting de-worming programs in 11 states. The deployment positioned Infor Lawson as the system of record for procurement, vendor management, asset tracking and financial purchase workflows used by the Operations Administration and Procurement function at the Delhi office, with procurement executed remotely on a PAN India basis.
Configuration and functional modules in Infor Lawson focused on procurement and purchasing, vendor master management, purchase order creation and online PO approvals tied to an authorization matrix, inventory and stock management, and fixed assets register and tagging. Contract and agreement tracking including annual maintenance contract records were maintained in the application, and routine MIS reporting for audit and reconciliation was produced from Lawson data. Petty cash processing, vendor billing reconciliation against purchase orders and agreements, and asset warranty and insurance tracking were operationalized in the system.
Operational coverage extended across procurement, administration, finance and program teams, with the Delhi procurement team creating and maintaining the centralized vendor database in Lawson, assigning asset numbers and updating asset lists, and coordinating deliveries and payments. Compliance workflows were enforced during procurements, including generation of Bridger Insight reports for vendor screening prior to order placement, and procurement committee meetings and minutes were recorded as part of the procurement lifecycle documented against transactions in Lawson. The system served as the authoritative source for purchase orders, vendor creation, and inventory status used to coordinate program supplies and vendor negotiations.
Governance changes emphasized adherence to the procurement policy, authorization matrix driven approvals within Infor Lawson, and formal procurement committee reviews for technical and non-technical purchases. Documentation and filing workflows for lease agreements, contracts and audit responses were linked to Lawson records and used during Internal, OFAG and donor audits. Evidence Action maintained an agreement tracker and updated procurement procedures and vendor records in Lawson as part of ongoing operational governance and audit readiness.

In 2014 Evidence Action implemented Sage MIP Fund Accounting to replace Intuit QuickBooks Online, adopting the Government ERP,Non Profit ERP application to centralize financial and grant accounting. The deployment emphasized fund accounting fundamentals and grant-level expense allocation to support donor reporting and compliance across the organization.
The implementation included a two year data conversion from QuickBooks to Sage MIP Fund Accounting and configuration of core modules for accounts payable, accounts receivable, bank reconciliation, budgeting, and payroll expense allocation. Functional activities documented during the rollout included producing and recording AR invoices and receipts, entering deposited checks, maintaining AP and physical invoice files, allocating indirect costs, making journal entries, and entering payroll expenses that were allocated across multiple programs and grants.
Operational processing covered treasury and cross-border cash movements, the recording of wires and transfers-out to field offices worldwide with manual calculation and application of exchange rates, credit card reconciliation, processing employee advances and reimbursements, and handling payments generated from the organization website which were entered into Sage MIP Fund Accounting. Business functions impacted included finance, grants management, treasury, and donor relations, with explicit support for USAID preparation and donor report compilation.
Governance practices established during the implementation emphasized month end bank reconciliations, maintenance of physical records alongside system entries, structured journal entry and reimbursement workflows, and routine production of reports for donors and auditors. The implementation positioned Sage MIP Fund Accounting as the central financial system for Evidence Action, consolidating transactional workflows and grant accounting responsibilities into a single Government ERP,Non Profit ERP solution.
