Configuration work focused on core accounting capabilities within Sage 50, including purchase ledger processing and invoice authorization, preparation of payment runs by BACS, petty cash issuance and reconciliation, bank reconciliations, processing of general ledger journals such as accruals, prepayments and cost reallocation, maintenance of capital project files and monthly stock takes with gross profit review to heads of department. Sage 50 was also used to maintain payroll records for hourly paid employees and to prepare audit supporting schedules.
The Sage 50 implementation operated alongside Excel, Microsoft Word, Reszlyx, Procure Wizard, Keelio, Outlook and EPOS as part of the operational toolset. EPOS and daily cash reconciliation supported cash posting and receipting processes, while Procure Wizard and Reszlyx were used in purchase and procurement workflows with invoice processing recorded into Sage 50.
Operational governance was formalized around monthly stock and supplier statement reconciliation, payment runs aligned to payment terms and cash flow, and invoice authorization workflows supporting budget control for heads of department. The Access Guestline Hotel PMS implementation was configured to deliver standard Hotel Property Management modules including reservations and booking engine connectivity, front office and reception workflows, housekeeping management, group and event bookings, and folio posting for transient and group revenue. Configuration work emphasized property-level segmentation because Gilpin Hotel and Lake House maintain separate accounting records, and the PMS setup included rate plans, room inventories, and housekeeping schedules aligned to each property.
Operationally the PMS coexisted with the finance and back office tooling documented by hotel staff, specifically Sage 50, Excel, Reszlyx, Procure Wizard, Keelio, Outlook and the EPOS environment. Implementation scope extended to the finance, front office, food and beverage, and housekeeping teams, with configuration to support folio posting, nightly audit workflows, cash reconciliation handoffs, and routine supplier payment and BACS processes that remained managed through the existing accounting toolchain.
