In 2020 Gold Care Homes implemented Softworks HR Management, deploying a Core HR application to centralize HR processes and support operational HR delivery across care homes. The initial implementation emphasized hands on HR business partner support to 12 Care Home Managers and their teams, providing expert advice on employee relations cases including disciplinary, grievance, safeguarding, whistleblowing, ACAS and Tribunal matters, with notes indicating coverage of approximately 800 employees per HRBP.
Softworks HR Management was configured to support standard Core HR workflows, including on boarding and off boarding for management and head office roles, long term and short term sickness tracking with capability process management, case management for employee relations, training and development needs analysis and delivery for Home Management Teams, and policy creation and amendment. The implementation included MI reporting capabilities to run management information reports, identify trends and patterns, and inform changes to processes and guidance.
The project involved close collaboration with the internal IT team on the introduction and implementation of the HRIS system, and operational coverage extended across individual care homes and head office, with collective and one to one staff consultations for changes to terms and conditions. The rollout emphasized standardisation of processes across sites to enable consistent configuration of Softworks HR Management and to support reorganisations and restructurings of care homes while keeping staff and management updated.
Governance was structured around process standardisation, coaching and guidance for managers on HR policies and procedures, and formalised consultation workflows for restructures and contractual changes. Routine activities managed through the system included managing employee relations cases, following capability processes where required, conducting consultations, delivering training to home managers, and ensuring ongoing compliance with CQC, Home Office and other government legislation.
