| Emburse | Legacy | Emburse Enterprise | Expense Management | ERP Financial Management | n/a | 2013 | 2013 |
In 2013 Gilbert + Tobin implemented Emburse Enterprise for Expense Management. The deployment targeted executive assistants, travel coordinators and central finance teams at the 1000-employee Australian law firm, addressing high-volume travel bookings, event expenditures and complex reimbursements commonly generated by partner teams and practice groups.
Emburse Enterprise was configured to deliver core Expense Management capabilities including itemized expense reporting, corporate card reconciliation, approvals workflow and policy enforcement, mobile receipt capture, and travel-related expense handling. Configuration work emphasized processing corporate AMEX card transactions, CabCharge records and employee reimbursement workflows as primary transaction types within the system.
Operational coverage spanned EAs supporting senior partners, practice group administrative staff, event management functions and the finance team responsible for monthly billing and financial reporting. Integrations were implemented to ingest corporate AMEX card feeds and CabCharge payment records into Emburse Enterprise for automated reconciliation, with expense outputs aligned to the firm’s finance and billing processes for validation and inclusion in partner billing cycles.
Governance and rollout included defining approval hierarchies, expense policy controls and targeted induction and training programs for executive assistants, supported by mentoring of junior EAs and new process documentation. Implementation efforts focused on embedding consistent expense controls across travel, events and monthly billing workflows while establishing operational ownership within the firm’s administrative and finance functions.
