In 2014 Healthcare Design & Construction implemented Paperless Environments pVaulT as its Enterprise Content Management solution to support accounts payable and subcontractor invoice processing. Paperless Environments pVaulT was deployed to centralize document capture, index invoice metadata, and enforce routing for approval and job number assignment across accounting workflows.
The implementation configured imaging and capture workflows that code miscellaneous invoices on a daily cadence and route those records to the company President for job number assignment and approval. Subcontractor invoices are scanned and ingested into Paperless Environments pVaulT, then routed to designated approvers with business rules that validate purchase order instructions and confirm that contracted work was completed before advancing.
Operationally the system is used by the accounting team, approvers in project management and executive approval in the President role, supporting end to end AP document flow. After the approval chain inside Paperless Environments pVaulT is complete and documentation status is set to approved, invoice documents are uploaded to Timberline AP to be selected for payment, creating a handoff between the Enterprise Content Management layer and the AP payment system.
Governance for the solution centers on configured approval workflows, role based routing rules, and documented completion states within pVaulT, ensuring that each invoice record contains approval evidence and job number attribution before it leaves the ECM system. The implementation emphasizes structured capture, indexed archival, routed approvals, and a controlled export point into Timberline AP for payment selection.
