In 2020, The Heineken Company implemented Basware AP Automation, an AP Automation solution deployed to consolidate and automate purchase invoice processing across its shared service center. The implementation followed an earlier consolidation decision to centralize IT, HR Facilities Management and Finance into a single Shared Service Center which services 25 business and sales units, and targeted the SSC Accounts Payable operation that handled roughly 430,000 purchase invoices per year. The deployment delivered an end to end invoice processing flow including scanning, order matching, coding, audit trail capture and archiving, with automatic copying of PO coding and audit information to invoices and automated forwarding of matched invoices back to ERP systems for payment. Basware AP Automation leveraged Basware any ERP connectivity and an automated matching engine to reduce manual approval workflow, and the initial proof of concept to go live with the first SAP environment was completed within nine months. Operational integration required connectivity to five distinct ERP instances, specifically two SAP 4.5 systems, SAP 4.7, SAP 5.0 and an inhouse system named Proost, to locate relevant purchase orders and perform PO based matching. The project addressed scale and supplier complexity, interfacing across a supplier base of more than 14,000 vendors, and the operational scope remained centered on the SSC and the finance and accounts payable business functions that service the domestic business units. Governance and workflow restructuring focused on centralizing AP control inside the SSC and creating an automated approval model where fully matched invoices bypass additional approval gates, while coding and audit trails are enforced automatically. The platform therefore redefined invoice handling procedures and enabled AP resources to be redeployed to higher value tasks while preserving an auditable trail for PO related transactions. Results reported by Heineken include significant time and cost savings, automated matching of over 90 percent of incoming e invoices with reported peaks up to 97 percent matching for electronic invoices, and a throughput of approximately 230,000 electronic invoices and 200,000 paper invoices annually. Of the electronic invoices, around 210,000 are processed end to end automatically, approval times were reduced substantially with order related electronic invoices cut by 95 percent, order related paper invoices cut by 60 percent and non order related invoices cut by 40 percent, and the SSC reduced dedicated AP resource by about 40 percent.
