In 2019, IFES implemented Deltek CostPoint as its core ERP Financial application. Implementation focused on configuring Deltek CostPoint’s core financial ledger, project accounting and reporting modules to support multi project cost capture and fund accounting common in international development operations. The team configured cost allocation and compliance workflows and embedded financial controls into general ledger, accounts payable and receivable processes. Standardized chart of accounts and project structures were established to enable consistent program level financial tracking.
Deltek CostPoint was integrated with Microsoft SharePoint to centralize document management, procure to pay documentation and rollout training materials, supporting field access to policy and procedural templates. Interfaces were established with HR and IT managed systems to support user provisioning, approval routing and time and expense submission workflows. Reporting workflows produced by the platform feed financial analysts and the Process Improvement Specialist for downstream review and consolidation.
Governance and rollout were led by a Process Improvement Specialist who coordinated process mapping, user acceptance and organization wide trainings, following objectives in IFES’ five year strategic plan. The role developed process improvement policies, templates and training resources for users at both IFES headquarters and in the field, and provided regular progress updates to executive leadership. Operational ownership remains distributed across Accounting, Finance, IT and HR with centralized oversight for system configuration and process controls.
