In 2020, IMMO Capital implemented Cledara to centralize IT Asset Management (ITAM),SaaS Spend Management across its finance workflows. The implementation targeted the finance team led by the financial controller, covering a company with headquarters in London, a product inventory of roughly 30 software applications, and an employee request workflow used across the organization.
The deployment of Cledara configured core capabilities typical of the category, including an employee software request and approval workflow, issuance of governed payment cards scoped to an approved budget, budget assignment per application on monthly and yearly cadences, and automated invoice capture with transaction matching. Cledara’s dashboard was used as the single pane of glass to show active apps, approvers, requesters, and budgeted spend, enabling the finance function to forecast upcoming costs and set more accurate software budgets.
Cledara was integrated natively with Xero so that captured invoices, bank statements, and matched transactions could be pushed into the accounting system automatically, removing manual reconciliation steps. Operational coverage included the finance and procurement touchpoints for SaaS spend, with employees initiating requests and finance controlling provisioning through the Cledara workflow.
Governance and process change removed a previously manual sheet based approach, eliminating the need for finance to chase invoices and transactions. The implementation enabled bookkeeping automation and cleaner spend visibility, and allowed IMMO Capital to identify and cancel duplicate subscriptions, resulting in the cancellation of around 10% of applications.
