Microsoft Legacy Microsoft Dynamics AX ERP Financial ERP n/a 2020 2020
In 2020, Jesuit Social Services implemented Microsoft Dynamics AX to support its ERP Financial operations. The deployment was scoped to support the Business Support function which is responsible for financial administration, human resources and operations, with primary operational coverage at the Central Office in Richmond and finance staff supporting the wider organisation of 381 employees in Australia. Microsoft Dynamics AX was configured to address core ERP Financial workflows common to nonprofit finance teams, including accounts payable processing with weekly EFT payment runs and creditor account maintenance, accounts receivable ledger management with invoicing and debtor query handling, bank reconciliation routines and general ledger control. The implementation also supported administration of the organisation's Flexi Purchase process and included configuration of role based workflows and payment batching to align with weekly financial cycles. Operational integrations emphasized interoperability with Microsoft productivity tools, notably Excel for spreadsheet reconciliation and reporting, and with internal procurement and payment processes used by the Finance Officer and accounts team. The system was provisioned to support the Accounts Payable and Accounts Receivable functions across Business Support, providing backup and cross coverage for finance staff and standardising transaction flows for invoicing, collections and weekly bank reconciliation tasks. Governance and rollout included role based access control and segregation of duties aligned to financial administration responsibilities, with access provisioning coordinated alongside the organisation's existing induction, screening and background check practices. Ongoing role related training and onboarding were incorporated into the program to embed Microsoft Dynamics AX into day to day finance operations and to support Finance Officers in executing weekly reconciliations, EFT runs and creditor management.

ELMO Software Legacy ELMO Retain Employee Experience HCM n/a 2017 2018
In 2017, Jesuit Social Services implemented ELMO Retain as part of an Employee Experience initiative. The deployment emphasized ELMO Recruitment and ELMO Performance Management modules, with ELMO engaged as the service provider to deliver software and implementation support. Configuration and functional work focused on recruitment workflows and performance review processes typical of the Employee Experience category. Implementation followed a structured project schedule set by ELMO, including phone hook-ups every second day to review progress against milestones, while the internal team used ELMO Academy for initial familiarization and relied on phone support for ad hoc functional questions. Operational scope concentrated on HR and talent acquisition functions, aligning job posting readiness for the organisation's website with scheduled performance management cycles. Governance was enforced through milestone-driven checkpoints and a disciplined project cadence, which produced readiness a week ahead of the planned go-live for a new round of jobs. Jesuit Social Services reported that ELMO’s project management approach was flexible and collaborative, with the vendor exploring solutions for requested functionality rather than issuing flat refusals, and that this support model eased adoption of ELMO Retain. The engagement placed ELMO Retain squarely within Jesuit Social Services Employee Experience tooling to support recruitment and performance management workflows.
