Configuration emphasized straight-through processing where possible, with automated auto-matching rules and exception workflows for manual review.
Operationally the solution was integrated with the company Microsoft Dynamics AX ERP so that matched invoices post directly to the general ledger and payment engine. The rollout covered central AP operations and remote approvers across all 11 locations, shifting department responsibilities for coding, matching, and approval into system-enforced workflows and reducing ad hoc email and paper routing across procurement, receiving, and accounts payable functions.
Governance and control were formalized through electronic approval chains, exception escalation paths, and query management workflows. As a result of the SoftCo ExpressAP deployment JJ Food Service auto-matches 80 percent of invoices and posts them straight to Dynamics AX without manual intervention, only exception invoices require resolution, vendor payment times have accelerated, and the AP team gained greater control and visibility over invoices at every stage of the process.
