In 2016 JLL implemented IBM Maximo as its Enterprise Asset Management application for integrated facilities operations supporting IBM NSW, the Northern portfolio and ACT. The deployment was centered on facility coordination and acting facility manager workflows within JLLs Integrated Facility Management team, with IBM Maximo used to manage site inspections, audits, contractor engagement and day to day repair and maintenance tasks.
IBM Maximo was configured to host the asset register and to process operational work orders, including the raise and tracking of change requests and the scheduling of PM maintenance. The team updated assets into IBM Maximo and used the application for compliance and audit documentation, reflecting standard Enterprise Asset Management functional modules such as asset management, work order management and preventive maintenance coordination.
Operational integrations included sending work orders to vendors through the IBM Portal and liaising with building management and contractors for inductions and emergency call outs. The implementation supported contractor management processes and monthly contractor meetings, with site staff using IBM Maximo to generate vendor work orders and follow up on ad hoc repair requests.
Governance and process changes emphasized adherence to Safety and HS&E policies, regular site safety inspections and the preparation of compliance paperwork as required by IBM. Day to day operational control was exercised through Maximo driven work orders, change request workflows and documented contractor oversight, aligning facilities, operations and compliance functions under the Enterprise Asset Management platform.
