In 2023 King's College Hospital implemented Microsoft Dynamics 365 for Finance and Operations as its core ERP Financial application, migrating from Microsoft Dynamics GP and deploying the new application to Azure within a six month delivery window. The programme was led through an IT Systems Manager reporting to the Finance Director, with E2E responsibility for portfolio, programme management, architecture, scrum and product ownership, supported by a team of eight and operating across the KingsIFM footprint serving 11,000 staff in South London and Kent.
Microsoft Dynamics 365 for Finance and Operations was configured to support core finance, procurement and supply chain management workflows, alongside a parallel upgrade of the PO and inventory application Sprinter to capture seven years of process improvements. The implementation included configuration of financial ledgers, procurement requisition to purchase order flows, inventory control and stock reconciliation capabilities consistent with ERP Financial functional patterns, and extended Office 365 collaboration by developing SharePoint sites to track savings and resources.
Integrations and operational interfaces were documented and executed as part of the rollout, including a cloud integration with Proactis for e tendering and contract management, alignment with GS1 and PEPPOL requirements for Scan4Safety enterprise changes, and improved WIFI connectivity for PDA devices in partnership with NHS Supply Chain to reduce dropouts and improve stock position. The project included systems architecture and data integration activity overseen by a solution architect focused on ensuring transactional flows between Dynamics 365 for Finance and Operations, Sprinter, Proactis and O365 collaboration sites.
Governance was driven by a roadmap to upgrade retire and replace applications, with programme management of multiple work streams delivered through matrix teams and formal product ownership for KingsIFM. The programme documented tangible procurement outcomes that were explicitly reported, including an estimated saving of £150,000 associated with the Proactis implementation and a supplier rationalisation that removed eight contracts generating an estimated £75,000 saving.
